Introduction
HopeSpace CLG (alternatively “HopeSpace” “we” “us” or “our”) supports children and young people grieving the loss of someone they love. It provides a free one-to-one listening service in a confidential, caring and supportive environment. It also provides information and resources to help families and others understand and navigate children’s and young peoples’ grief.
Personal information is any information relating to an identified or identifiable living individual. The protection of personal information is a high priority for HopeSpace and we take all appropriate measures to protect your data and your rights. This privacy statement outlines the types of personal information we collect, why we need that information, who we may share your personal information with, how long we will retain your personal information, your rights and how to contact us.
This privacy statement is of a general nature and is directed at the wide variety of individuals who may interact with HopeSpace, including service users, families/guardians of service users, donors, volunteers, staff and the general public.

What information do we collect?
The personal information that we collect may include your name, date of birth, email address(es), postal address(es) and telephone number(s). We may also process additional personal information depending on the nature of your interaction with HopeSpace as follows:
Children/young people and their parents/guardians
We may gather information relating to your personal circumstances such as your relationship to the deceased, your experience of bereavement, information about your family, etc. Also, during or after listening sessions, Listening Volunteers may make brief notes about the sessions, as an aide memoire, to ensure that you get the best possible service.
We collect personal information from you when you, or someone acting on your behalf such as a family member or guardian:
Asks about our service.
Registers with HopeSpace as a service user, completes the Service User Intake Form and/or the Consent Form.
Seek assistance or support by, for example, emailing or telephoning HopeSpace.
Attend sessions with our listening volunteers.
Or otherwise give us personal information.
Others
We may process your personal information as follows:
Your credit card/debit card details if you donate to HopeSpace
Your contact information if you register with us to, for example, take part in a fundraising event, attend an information event, attend a training workshop.
Your contact details if you register with us a volunteer.
Recruitment related information if you apply for a position with us.
Your PPSN, salary and bank details if you accept employment with us.
Your contact details if you fundraise on our behalf.
How do we use your information?
We use your information, as appropriate, in the following ways:
Children and young people
To give you the information, support or services you seek.
To gain a full understanding of your personal circumstances so we can provide the best possible service to you.
For internal administrative purposes (such as record keeping and accounting).
To assign a listening volunteer to you and to schedule listening sessions for you.
To carry out risk assessment as considered necessary.
To contact you in relation to evaluating our services, and for research and analysis to evidence the impact of our work and understand ways in which to improve support for young people dealing with grief. In these instances, references to any information that could lead to an individual being identified will be removed.
In cases where we need to investigate, and respond to, complaints, legal claims, health and safety concerns, or other issues.
Others
Where you have given us consent, we may send you communications about events that might interest you and information about our campaigns, volunteering and fundraising activities. Let us know if you wish to withdraw your consent and would prefer not to receive these communications at any time by emailing chair@hopespace.ie, calling us on 091 342566 or writing to us at the address above.

Once your information is available, we will send it to you or invite you to HopeSpace to review it. As is your right, this information will be made available to you in a clear easy-to-read format and you will be entitled to keep a copy of it. There may be situations where we have to refuse your request. If that happens, we will explain these reasons to you.
What other rights do you have?
You have a right to lodge a complaint to the Data Protection Commission if you are not satisfied with any aspect of how we handle your personal information.

Who do we share your information with?
We may sometimes share your information with trusted service providers who are authorised to act on our behalf. For example, if you donate to HopeSpace, your information may also be processed by our service providers.

Where relevant and where required to do so by law, we may share your personal data with organisations such as the Revenue Commissioners, Department of Social Protection, Auditors and Insurance Companies, Tusla and An Garda Siochana.
